(CMHA) Statement of Privacy Last updated March 7, 2003

At Carriage Mill Homeowners Association (CMHA), we are committed to protecting your privacy. If you are a non-member, you can travel through much of our site without giving us any information about yourself. If you are a member, we will ask you when we need information that personally identifies you (personal information) or allows us to contact you. Sometimes we do need additional information to provide the services that you request, and this statement of privacy explains data collection and use in those situations.

Collecting your Personal Information

We will ask you when we need information that personally identifies you (personal information) or allows us to contact you. Generally, this information is requested when you are asked to register before obtaining certain benefits, ordering e-mail newsletters, or referring friends. Personal information collected on this Web site is generally limited to name, e-mail address and location but may include other information when needed to provide a service you requested.

When you register online for email newsletters and reminders, we will ask you to register your profile electronically. When you do, we keep this registration information on file with any information you've already given us on previous visits to our Web site. This is considered your personal information.

If you ever want to review or update your personal information, send a certified letter to the Association, at the address given at the end of this page. When you do so, we will respond within ten (10) business days (discounting weekends and holidays).

The Log In service assigns a personal identification number and password which will be sent to you via Email.

Use of your Personal Information

We use your personal information for four primary purposes:
  1. To make the site easier for you to use by not making you enter your personal information more than once;
  2. To insure your online experience is secure;
  3. To help us create and deliver content most relevant to you;
  4. To alert you to benefit news, features, events, special offers, updated information and other new services from Carriage Mill Homeowners Association (CMHA).

    CMHA does not send unsolocited Email,
    nor will we ever request personal information by telephone or over the Internet unless you first contact the Association.

Generally, Carriage Mill does not share personal information of members with any other business or agency with the following exceptions.
    The Association may share personal member information when necessary with:
  • Association accountants and attorneys;
  • Law enforcement agencies, City or Govenrment agencies when subpoened by a court or,
    when the property or personal safety of members is endangered.

Other agencies are prohibited from using member information for any purpose not related to Carriage Mill business.
Carriage Mill Homeowners Association will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to:

(a) conform to the edicts of the law or comply with legal process served on Carriage Mill Homeowners Association or the site;
(b) protect and defend the rights or property of Carriage Mill Homeowners Association, Inc. and its Web sites, and,
(c) act in urgent circumstances to protect the personal safety of members of Carriage Mill Homeowners Association, Inc. its Web site, or the public.

Control of your Personal Information

Virginia Law requires all Owners of Carriage Mill property to hold membership in the Association. Enrollment at this Web site is entirelt voluntary. When you enroll as a member at a Carriage Mill Web site, or otherwise give us personal information, Carriage Mill Homeowners Association will not share that information with third parties without your permission, other than for the limited exceptions already listed. It will only be used for the purposes stated above.

Registering at this Web site also allows you to tell us how or whether you want Carriage Mill Homeowners Association to communicate with you such as with our monthly member benefits e-newsletter Homewise, or our free seasonal reminders. You may unsubscribe to these membership publications at any time.

Carriage Mill Homeowners Association may send out e-mails periodically in the event of issues related to a product or service affecting members. If applicable, you can not unsubscribe from receiving these mailings as these notifications are considered an essential notice concerning a service you have chosen.

Carriage Mill Homeowners Association strictly protects the security of your personal information and honors your choices for its intended use. We carefully protect your data from loss, misuse, unauthorized access or disclosure, alteration, or destruction.
Your personal information is never shared outside the Association without your permission, except under conditions explained above. Inside the Association, data is stored in in the member's file and electronically, with limited access. Your information may be stored where Carriage Mill Homeowners Association, its offices or agents are located.

You also have a significant role in protecting your information. No one can see or edit your personal information without knowing your Carriage Mill Homeowners Association Membership Number, so do not share this with others.

Protection of Children's Personal Information

Member Only Services

To provide password-protected "members-only" areas on this web site, we maintain a supplemental database of the individual residents.
To better serve the recreational and social interests and needs of the community, we use the personal information that you provide to create electronic directories. Access to these directories is restricted to only those with appropriate reason to view or use stored data or others designated by the Board of Directors. At no time will these electronic directories be accessible to the general public. We can not prevent neighbors from sharing their user names and passwords with non-residents. When made aware of abuses, we will investigate and take the necessary corrective action.
