Brick Memorial High School History Club Constitution


Article I
Name of the Organization
Section 1: This is the Brick Township Memorial History Club.

Article II
Purpose
Section 1: This club is designed to make the public aware of historical events. We intend to support historical organizations in the area.

Article III
Advisors
Section 1: The advisor of the History Club may be a faculty member of Brick Memorial.
Section 2: The job of an advisor is to oversee the meetings, help the club when a problem arises and be involved with the events of the club.

Article IV
Membership
Section 1: Any current student of Brick Township Memorial High School may be a member of the club.
Section 2: In order to be recognized as a full member of the club the person must abide by all rules and guidelines in place. Any person failing to do so will be considered a probationary member.
Section 3: Any member failing two (2) or more classes for a marking period will be subject to discipline by the Executive Board. The Executive Board is to decide on a punishment, using their discretion, based on the member’s dedication and participation in the club.

Article V
Full Member/Probationary
Section 1: A full member has the opportunity to vote on matters presented to the membership body. A full member may also choose to run for a position on the Executive Board.
Section 2: If someone loses their full member status they become a probationary member. A probationary member may not vote and cannot run for an Executive Board position.

Article VI
Attendance Policy
Section 1: The attendance policy for this club is a form of a trickle-down policy. The higher your position, the fewer meetings you are permitted to miss.
Section 2: Listed below are the attendance requirements:
1. President—One (1) absence every two (2) months
2. Vice President—One (1) absence every two (2) months
3. Treasurer—One (1) absence every month (1)
4. Secretary—One (1) absence every month (1)
5. Public Relations—Two (2) absences every month (1)
Section 3: No member is allowed to miss two (2) consecutive meetings. If a member does miss two (2) consecutive meetings, they become a probationary member. If an officer misses two (2) consecutive meetings, they forfeit their position on the executive board and become a probationary member.
Section 4: If an officer is involved in another school related activity they do not have to follow the guidelines above, but to have to be present for at least one (1) meeting a month. The rest of the club must know their reason. If the officer fails to be present for at least one meeting a month, they lose their Executive Board position and become a probationary member.
Section 5: If a probationary member wishes to regain full member status they must be present at two (2) consecutive meetings. If an officer becomes a probationary member, they must be present at two (2) consecutive meetings to regain full member status. The officer cannot regain their executive board position during that same year.
Section 6: If a member is absent from school on a meeting day, that absence does not count towards their absences in the club.
Section 7: Attendance to a special/emergency meeting is not counted towards the regular club absences.

Article VII
Elected Officers
Section 1: The elected officers will be the president, vice president, treasurer, secretary, and public relations.
Section 2: The term of office for an elected officer will be one (1) year.
Section 3: A member may serve as an elected officer for no longer than four (4) years.

Article VIII
Duties of the President
Section 1: The duties listed below are the minimum duties of the president. Others may be assigned. The president is to:
1. Report to the advisors.
2. Oversee the fundraising.
3. Has veto power for amendments proposed.
4. Assign committee jobs.
5. Create an agenda for the upcoming meeting and turn it into the advisor two days prior to the meeting.

Article IX
Duties of the Vice President
Section 1: The duties listed below are the minimum duties of the vice president. Others may be assigned. The vice president is to:
1. Replace the president at meetings in
2. Which the president is not present. In doing so they assume all the presidential responsibilities for that meeting.
3. Has veto power for amendments proposed.
4. Oversee the media and public relations. All announcements and flyers posted in the school must first be approved by the vice president

Article X
Duties of the Treasurer.
Section 1: The duties listed below are the minimum duties of the treasurer. Others may be assigned. The treasurer is:
1. In control club funds. Any expenses must be presented to the treasurer.
2. The head of fundraising.

Article XI
Duties of the Secretary
Section 1: The duties listed below are the minimum duties of the secretary. Others may be assigned. The secretary is to:
1. Record the minutes at each meeting.
2. Make any necessary contacts to club members.
3. Keep an accurate and up-to-date record of attendance.
4. Keep an accurate and up-to-date record of member activity.

Article XII
Duties of the Media/Public Relations
Section 1: The duties listed below are the minimum duties of the media/public relations. Others may be assigned. The media/public relations is to:
1. Make flyers to be posted throughout the school announcing meetings.
2. Publicize club events.

Article XIII
Meeting Procedure
Section 1: Regular meetings are to be conducted using the following format:
1. President’s report
2. Vice President’s report
3. Treasurer’s report
4. Secretary’s report
5. Media/Public Relations report
6. Open floor
7. Advisor comments
Section 2: During Executive Board reports comments and questions are not to be made. They will be addressed during the open floor session.

Article XIV
Executive Board
Section 1: The executive board will consist of the faculty advisors and the elected officers.
Section 2: A vacancy on the board will be filled by each member of the board advancing one position. If an officers elects not to change their job the advisor will pick a member to replace the missing officer.
Section 3: A 3/5 majority vote of the executive board, with approval of the advisor, shall be necessary to pass any business which is referred to the executive board.

Article XV
Meetings
Section 1: Regular club meetings are scheduled every Thursday after school.
Section 2: Special meetings are to be announced at the next regular meeting. If an emergency meeting is needed, try to inform as many club members as possible before the meeting. The notes from the special/emergency meeting are to be presented to the rest of the club members at the next regular meeting following the special/emergency meeting.
Section 3: In order to conduct business at a regular meeting, 3/5 of the members are needed at a meeting. Any number of members is acceptable at a special/emergency meeting.

Article XVI
Elections
Section 1: Elections are to be held at the first meeting in May.
Section 2: Candidates wishing to run must announce their running two (2) meeting before the election meeting. During the announcement, meeting candidates must make a short, one (1) to two (2) minute, speech about why they wish to run and what they feel they can do.
Section 3: The term of office will be one (1) year. Any one person may hold an executive board office for no longer than four (4) years.
Section 4: In the case of a tie for an office, the following procedure will be used:
1. The candidate that had the most club activity during the previous year will win the position.
2. If both are active in the club, another vote will be taken.
3. If the second vote is also a tie, the decision goes to the advisor. The candidates will be required to make a short, one (1) to two (2) minute, speech to the advisor about why they are the best choice for the job. The choice of the advisor is final.

Article XVII
Projects
Section 1: Each month during the school year, a different historical event or holiday is celebrated.
Section 2: Each member must participate in at least three (3) monthly projects per year.
Section 3: The creation of a project includes creating the display, maintaining the display for the time it is up and removal of the display once the month is over.
Section 4: Projects are not to be worked on during a regular or special/emergency meeting. The members wishing to participate will pick a day that is convenient for all involved.
Section 5: Each month a new project is done. The following are the projects:
-September—Hispanic Heritage
-October—Native Americans
-November—Pilgrims
-December—Pearl Harbor/Winter Holidays
-January—Art/Music History
-February—Black History Month
-March—Women’s History Month
-April—Holocaust/World War II/Easter
-May—Spring/Memorial Day
-June—Current events of the past school year

Article XVIII
Amendments
Section 1: A club member wishing to have an amendment adopted must present it at a regular meeting. It will be presented to the executive board.
Section 2: The executive board may accept, reject, or amend the proposal.
Section 3: If it is accepted, it is presented to the entire membership body of the club. If it passes with a 2/3-majority vote, it is added. If it does not pass, it is dropped and must be represented if the author still wishes the amendment to be added.
Section 4: If the executive board rejects it, it is dropped and must be represented to the executive board if the author would like the amendment to be added.
Section 5: If the executive board amends the proposal, it is returned to the author. If the author approves the new version, it is then presented to the entire membership body of the club. If it passes with a 2/3-majority vote then it is adopted. If it does not pass, it is dropped and must be represented if the author still wishes the amendment to be passed. If the author rejects the new version, it is dropped and it must be represented if the author still wishes the amendment to be passed.

Article XIX
Ratification
Section 1: This Constitution was accepted by the members of the 2000-2001 History Club on March 23, 2001.
