In this page we address a host of common queries that students have concerning the application procedure. The queries are of two major categories :

About items in the application form

What is the year of our degree?The year we passed or the year we got the certificate?
The year you got the certificate.
John hopkins has asked 'expected grant for tution'&'expected grant for living expenses'.What to write there?
Both zeroes.
About the Financial Statement Form - I was informed to leave it blank and just sign at the bottom and write on the top - "all financial support will be provided by the department". Is that allowed ? Some universities emphasise strongly that international applicants have to fill this form and without that their application will not be processed.
You should sign at the bottom, write something like "All financial support to be furnished by department" at the top, and leave everything else blank.
what Visa type should I plan ?
F-1. That is the student Visa type.
They are asking for the title of the course followed by the course # . what should I write here ? and then after course # they have asked for units what is this units ? is that marks obtained or the number of lecture hours ? I scanned the whole application material nowhere I could find the explanation to this.
Leave the space for numbers blank. In the US it is customary to attach a number to each course, so that advanced courses are given higher numbers than elementary courses. Since in ISI we have no such system, you do not have to write any number.
How do I respond to the following item in an application form?
DEPARTMENTAL AWARDS (Fill in all for which you wish to be considered)
  1. Teaching assistantship
  2. Graduate Student Researcher
  3. Fellowship/Registration Fee Grant
  4. Non Resident Tution Fellowship
Say "yes" to the first three options. Make sure by asking the department secretary whether saying "yes" to the fourth option will jeopardize your chances of getting on-campus housing. If not, then say "yes" to that too.
What is a post-secondary school?
Post-secondary school means higher secondery schools in Indian terminology.
What is meant by "colleges attended" ?
The institutes from where you got (or are going to get) your Bachelors' and Masters' degree.
What is meant by "high school of graduation" ?
The school/college from where you got your higher-secondary degree.
What is meant by "the title of the recommenders"?
It means the designation of the recommenders. For instance, in case of ISI faculty members, it will either "lecturer", "associate professor" or "professor". Ask the recommender for each specific case.
When filling out the application form, I made a careless mistake.I have struck it out and signed.Is it o.k. or should I obtain a fresh form?
It is OK, provided it is not part of a computer scannable page.
They are asking - how many terms and how many more units must be completed for the award of your degree in addition to the courses listed above. Above this I gave the courses I did the last semester. Now what does this terms mean ? and what do they mean by additional units ?

In the course list do I have to mention the courses of this semester? What about those of the next semester?
Mention as many of the courses that you have taken as possible, including the courses that you are taking this semester. Also, if you have already decided upon (at least some of) the courses that you are going to take the next semester, then mention them too as "courses that I plan to take".
Am I applying as a Degree student or a Qualifying student?
Degree student.
What is meant by a minor course in B. Stat?
You may mention the optional courses here. But mention that they are optional.
Should I mention my private tuitions as teaching experience?
Why not?

About accomapanying documents

I had asked ETS to mail my General GRE scores to 4 places in my SubGRE form.Do you have any idea whether the General GRE scores will be sent after the subGRE exams have been evaluated or will they be sent much before that(since I have already taken my General Test). Since the deadlines for many places are in the first week of Jan. I am worried that my General GRE scores will not reach them before the deadlines.
I don't think that ETS would process the request until subject gre is done if you make the request with subject gre score. But it is ok if you send a copy of your student score report with the application form for the decision purposes. the official document may reach the grad school a little later.
In all the application forms I am supposed to write my GPA. As you are well aware, we do not receive grades but percentages. Please confirm whether I am supposed to write my aggregate percentage in B.Stat.,M.Stat.1st year in the space provided for the GPA. Besides, if i report percentages then do I have to write in a separate sheet how the grading is done here?If yes then please tell me what exactly should I write.
Simply write the percentages with the explicit % sign. No, you do not have to write any additional explanation.
Coming to score reports. Can I request for the additional score reports of Sub-Gre which is on the 11 th of December at this stage or should I wait untill I take the exam ? Perhaps I can do that for GRE and TOEFL exams which I have already gave.
You can request additional score report only after you have taken the exam.
I have 75.2% in B.Stat and 67% in M.Stat 1st year. What will be my grade point averages in these cases?
Look for instructions in the application material for doing the conversion. If you do not find any instruction, then better write the percentages in place of the GPA's with explicit % signs.
How to send the application material?
Suppose you are sending the three reco's with your application form, and the application fee is being paid by someone in the US. Then this is what you should do.
  1. Ask ETS to report your scores to the university.
  2. Ask the person paying the fee to send you a cheque drawn on a US bank.
  3. Put the completed application form, the cheque, the SOP, course list, official transcripts, and supporting documents eg, students' ETS score report etc in one envelope. Mail all these to the appropriate university address. Mail the recommendations separately to the university if that is the instruction. Some universities encourage you to send the recommendations along with the application form. In that case, you should do so, since it saves money.
Make sure where you are to send the materials : to the graduate school, or to the department.
Is it a good idea to send four or more recos?
You may send four or more reco's to the same place. However, do not forget about your social resposibility to your fellow students who might also be wanting to have reco's from the same recommenders.
Should I write down my SOP for the universities who have provided the forms, or can I send the formatted copy?
You may send a formatted copy.
The universities are asking for 2/3 sets of official transcripts If I send photocopies (attested by the Dean) of the marksheets and certificates, then will that be acceptable?
Yes, but they should be in an envelope bearing the official stamp of the Institute. In case of ISI, this means that the envelope should be SEALED WITH THE DEAN'S SIGNATURE STAMP.
I once wrote an article that was published in the journal Resonance. I would like to mention this in my SOP. Should I send the copy of it to the dept ?
Simply mention the precise reference. No need to send a copy.
Should I send the letters of recommendation with the application materials?
No, you should not do that. Send them separately. This means that even if you mail all the things on the same day, you should not put the recommendation letter envelopes inside the same envelope that contains the filled in application form etc.
gopi asks : which newspaper should we subscribe to to get information about scholarships , and during which period are such ads published ?
The Statesman,the Telegraph and the Times of India are some obvious good choices.
I have decided to send more than three recos to some places. However, most of the universities have , in their application forms, 3 spaces to write down the names of the referees, specially in the computer scanable forms. What do I do then?
In the computer scannable forms write the names of the three "most important" recommenders. In all other places where you have to mention the recommenders, squeeze in the other names as well.
