AAD Tour Adult Participation

The AAD Tour Adult staffing for this unprecendented event is structured where several adults could provide DAY ONE leadership as a 1 day commitment so it doesn’t interfere with adults who have limited vacation, etc. St Patrick’s Cathedral Tour Kick Off Chairman has his program and then Pilgrimmage departs so he can continue for the remainder of the tour or stay at home. AAD Tour Food Chairman can drive to Quanah lunch stop before kick-off mass and have everything set up for groups to have lunch. Afterward, he can return or continue on the remainder of the trip to conduct other Mobile Lunches. Coordinator of Wichita Falls group can organize participants who live around Wichita Falls, travel to Amarillo, and then return during the same weekend to prevent undue usage of vacation. Of course, any adult is invited to participate in whole week but this allows flexibility in staffing.

Tour Kick-Off Mass

Dates: To Be Announced (dependent upon the dates for the 2007 National Catholic Comm on Scouting Conference at Philmont Scout Ranch).

The Chairman will work with Diocesan Chaplain Father Anh regarding the kick-off program and arrangements. Since this will be the kick-off of an unprecendented event, we would like one man who will help us create a groundswell of energy that will start our scouts on their way.

Travel Coordinator

This adult will handle the check in of participants, assignment of participants to vehicle, Ensure that all participants have medicals, that van drivers have copies of medical, verify whether participants have snacks, ensure tour permits are in order, maps for drivers, etc.

Travel Coordinator will brief the Van Patrol Leaders and Patrol Advisors (Van Drivers) regarding the instructions for the day.

AAD Tour Drivers

Our Van Drivers will be the Tour Patrol Advisors. The Ad Altare Dei Award Counselors will be a second adult riding in the van to facilitate completion of AAD award requirements. There will be an AAD Tour Patrol Leader in every van.

All adult participants will be current registered scouters, will need current Youth Protection Training, at least the minimum insurance required on their van for our tour permit, (we would desire) that they have had CPR training or are First Aid knowledgeable, and have an enthusiastic attitude for our scouts to see as a role model.

Van Drivers will have a reduced fee to allow for gas/oil, etc. Fee as yet to be determined. Van Drivers may opt to pay the AAD Tour fee and allow the AAD Tour to add another Free AAD Tour Boy Representative to our list of participants.

Ad Altare Dei Tour Counselors

Program materials, video materials, AAD notebook, writing instruments, and any necessary props for material to be covered. We are looking for at least 10 AAD Counselors to travel with us over the entire tour. However, we are open to AAD Counselors who can travel to Amarillo for the first AAD Lessons and returning home on Sunday, traveling for a few days to Philmont and return separately and/or meeting us for the return to assist with award work on the return journey.

Adult Tour Participant Information Continues



Tour Medical Officer

A licensed physician who will have the master list of participant physicals and assist in care when necessary. The AAD Tour will pay for this adult to attend all week.

AAD Tour Food Coordinator

We visualize a trailer departing ahead of the group, setting up the lunch stop, and waiting for individual vehicle groups to trickle through until entire contingent has checked in or called using a cell phone to verify they are going straight through. The Food Chairman may have several youth staff who will set out ham, turkey, beef, lettuce, chips, tomato, relish, mustard, etc. in a way that there will be 2 lines for groups to arrive, make their sandwiches, eat at location or get back into vehicles and continue forward. Hydration will be very important so all van drivers and counselors are tasked with ensuring every scout is drinking as much water as possible. This is a way to ensure every scout has a quality experience and does not get sick as we approach higher elevations.

Optional Quanah Lunch Break at Battle Site. The Battle of Pease River is better known as the Texas Ranger Indian skirmish that ultimately freed Cynthia Ann Parker from the Comanche Indians. Quanah is named after Quanah Parker…son of Cynthia….who later became Chief and helped transition the Comanche Indians into white civilization.


Coordinator of Wichita Falls Participants

Meet at local Wichita Falls Church, check medical documents, ensure all program materials, etc. Similar to Ft Worth registration but smaller in scale.

Amarillo Evening Program Coordinator

This will likely be Mr Charles Ritchie who will lead his nationally renowned K Indian Dancers in a show for all participants.

Amarillo Overnight Arrangements

Mr Charles Ritchie. Stay at the Kiva where hundreds of scouts have witnessed the hospitality of the Amarillo Crew 9 K Indians.

Amarillo Dinner Coordinator

An adult can travel to Amarillo on Friday night before tour kick-off, prepare group activities and handle arrivals of tour group Saturday evening. This allows an adult to participate during the weekend, no impact to vacation, and return on Sunday or continue for full tour.

Amarillo Cathedral Coordinator

A visit with the Bishop of the Diocese of Amarillo, attend mass at the cathedral, and kick off of tour for any participants from Amarillo. This may be as simple as arrangements or as elaborate as facilitating a program similar to the Ft Worth kick off.

AAD Tour Statement of Understanding:



All participants (Scouts and leaders) are selected to represent their local councils based on their qualifications in character, physical and personal fitness, leadership qualities and as a Catholic role model. Therefore, all adult and youth participants and their parents or guardians are asked to read the Code of Conduct and Statement of Understanding as a condition of participation. It is with the further understanding that serious misconduct or infraction of rules and regulations may result in expulsion, at the participant's expense, from the AAD Tour or during the AAD tour. Ultimately, we want each participant to be responsible for his or her own behavior, and only when necessary will the procedure be invoked to send a participant home from the AAD Tour.

AAD Tour Code of Conduct:

1. The tour adult leaders (Drivers, Counselors and Event Chairman) are responsible for the supervision of tour participants with respect to maintaining discipline, security, and the AAD Tour Code of Conduct.

2. The Scout Oath and Law will be my guide throughout the AAD Tour.

3. I will set a good example by keeping myself neatly dressed and presentable. (The official Scout uniform and AAD Tour identifying items are the only acceptable apparel.)

4. I will attend all scheduled programs and participate as required in cooperation with other members and leaders.

5. In consideration of other unit participants, I agree to follow the bedtime and sleep schedule of the unit, unless otherwise directed by the AAD Tour program.

6. I will be responsible for keeping my sleeping area and personal gear labeled, clean, and neat. I will adhere to all the AAD Tour recycling polities and regulations. I will do my share to prevent littering during the AAD Tour.

7. I understand that the purchase, possession, or consumption of alcoholic beverages or illegal drugs by any youth member is prohibited. This standard shall apply to all participants--both youth and leaders.

8. Serious and/or repetitive behavior violations by youth, including use of tobacco, cheating, stealing, dishonesty, swearing, fighting, and cursing, may result in expulsion from the AAD Tour or serious disciplinary action and loss of privileges. The AAD Tour director must be contacted for the expulsion procedure to be invoked. There are no exceptions.

9. I understand that gambling of any form is prohibited.

10. I understand that possession of lasers of any type, and possession or detonation of fireworks is prohibited.

11. I will demonstrate respect for unit and the AAD Tour property and be personally responsible for any loss, breakage, or vandalism of property as a result of my actions.

12. Neither the leaders, the Catholic Committee on Scouting nor the AAD Tour, BSA, will be responsible for loss, breakage, or theft of personal items. I will label all my personal items and check items of value at the direction of unit leaders. Theft will be grounds for expulsion.

13. While participating in the activities, I will obey the safety rules and instructions of all leaders and staff members.

14. In accordance with U.S., local, and state laws, adult and youth are prohibited from having firearms and weapons in their possession.

15. Youth and adult leaders will be guided by the Scout Oath and Scout Law and will obey all U.S., local, and state laws.

16. All adult leaders must receive Youth Protection training and follow the guidelines therein prior to the AAD Tour.

17. Hazing has no place in Scouting. Nor do running the gauntlet, belt lines, or similar physical punishment. Leaders and older youth must prevent any youth from being "initiated" into the tour with hazing.

18. Adult leaders should have the good judgment to avoid trading souvenirs or patches with a child or youth member in Scouting. Youth members may trade with youth members. Adult leaders may trade only with other adults 18 years of age or older.

19. Adult leaders and youth leaders must instruct youth to avoid confrontation with groups, demonstrators, or hecklers and must assume a passive reaction to name- calling from individuals or groups. Groups must be removed from the area of potential conflict immediately.

20. Serious violation of this code may result in expulsion from the AAD Tour at the participant's own expense. All decisions will be final.
