Regular business meetings of the HCES are held monthly throughout the year at a date and place determined by the Council. Currently, the monthly meetings are held at the restaurant in the ground floor of the Plaza Hotel, 3253 North Nimitz Highway, Honolulu, Hawaii.
The agenda and other details of the meeting are disseminated to all representatives of the member societies through the HCES Mailing List or by announcement in the BULLETIN BOARD of the HCES Website. This particular task is the responsibility of the HCES Secretary. A buffet lunch usually precedes the meeting. A quorum is required and it consists of a majority of the representatives from the member engineering societies. When the designated representative is unable to attend a scheduled meeting, the designated alternate representative is asked to attend.
In the absence of any business to be transacted, the meeting may be cancelled but this rarely happens. When the need for a special meetings arises, it may be called at the direction of either the Chairman, Vice Chairman during the absence of the Chairman, or by two-thirds of the representative members of the Council.

The minutes of the Council meeting are prepared by the HCES Secretary. After it is approved by the Council it is sent by email to all the representatives of the member societies. Important matters taken up during the monthly meetings which are of interest and concern to the member societies are also posted in the BULLETIN BOARD of the HCES Website ... a task undertaken by the HCES WebMaster.
